Why do I need to register all the guests in a booking?

In Spain and Belgium (as in most EU countries), hosts are legally required to register all guests staying in a short-term rental property. This isn’t a Globexs preference — it’s a legal obligation that applies to all professional accommodation providers, including apartments, holiday homes, hotels, hostels, B&Bs, etc.

For every guest, we must collect:

  • Full name
  • Passport or ID number
  • Date of birth
  • Nationality
  • Signature

Spain

In Spain, guest registration is mandatory under Royal Decree 933/2021 and the regulations of the Spanish Ministry of Interior. All accommodation providers must register each guest and transmit their personal details to the authorities for security and public order reasons. We are legally responsible for providing complete and accurate data and can be fined if guests are not properly registered.

Belgium

In Belgium, temporary rental accommodations are regulated at a regional level (Flanders, Brussels, Wallonia) and must comply with official lodging regulations such as the Logiesdecreet in Flanders. In addition, under Belgian and Schengen rules, accommodation providers are required to collect identity details from guests (the traditional “hotel registration form”), which must be available for inspection by the authorities.

In both countries, the purpose of these laws is public safety, identification, and compliance with police and immigration regulations.

What if a company is booking?

We completely understand that when a company books an apartment, it can be annoying or feel like a hassle to get each employee to sign. But the legal requirement to collect each guest’s personal details and signature still applies — regardless of whether the booking was made by an individual or a company.

To make this easier:

👉 Each person can then fill in their own details securely online from their phone or laptop.
